Job Description:

bp Legal is seeking an information and records management analyst to support bp's legal team. Information and Records Management analyst will be responsible for supporting the day-to-day operations of the records and information management function in bp Legal. This role involves a variety of tasks related to the organization, storage, retrieval, and disposition of records and will provide support to bp Legal’s Litigation and Disputes team globally. This role is part of bp Legal’s Discovery Services Team and works closely with a senior Information and Records Management Analyst, as well as bp’s Discovery Counsel, Discovery Director, Project Managers/Paralegals, Discovery Specialists, and Technology.  The role will also interface with external vendors providing data and records management services including storage and disposal.

Job Responsibilities:

  • Assist in the classification and indexing of records.

  • Assist with records for destruction or transfer to archives in accordance with legal and regulatory requirements.

  • Assist in the implementation and maintenance of records management system (e.g. Insight).

  • Conduct searches for records using various methods, including electronic databases and physical files.

  • Request records from and return records to offsite storage.

  • Track and manage costs associated with the movement and destruction of records.

  • Validate legal hold status and process destruction request.

  • Assist in the development and maintenance of a records retention schedule.

  • Assist in the development and implementation of records and information management policies and procedures.

Job Requirements:

  • Basic knowledge of Records and Information Management.

  • Proficient with MS Excel.

  • Proficient with MS Access and/or SQL.

  • Knowledge of how a data management tool works.

  • Ability to work optimally in a busy, time-sensitive environment while maintaining professionalism and strong interpersonal skills.

Preferred Skills:

  • Strong problem solving & analytical skills.

  • Ability to work independently with minimal supervision.

  • Demonstrated ability to pay attention to detail.

  • Assoc of Records Managers and Administrators (ARMA) membership

  • Information Governance Professional (IGP) certification or willingness to obtain IGP certification.
